Symposium Regulations

The CED/NOF IADR Oral Health Research Congress involves a two-and-a-half-day programme of oral and poster

presentations, as well as symposia covering a broad and balanced spectrum of scientific topics related to oral health

research. CED/NOF-IADR is committed to always maintaining a high scientific standard.

This document outlines the general regulations governing the organisation of industry-sponsored symposia and

exhibition. All sponsors are obliged to adhere to these regulations. Any matters or inquiries not addressed by these

regulations will be subject to final judgement and decision by the CED-IADR Board (the organiser) and may be

amended at any time.

TO SUBMIT A SYMPOSIA PROPOSAL

  • A company contact person, and a symposium coordinator must be appointed. The symposium coordinator is a neutral person (e.g. any CED-IADR Board Member, or one of the speakers), not affiliated with the sponsoring company. The coordinator must ensure that the symposium proposal is completed in accordance with these regulations.

  • The symposium coordinator consults with the company contact person before completing the 2026 symposium proposal form, which includes:
    • the proposed symposium title (max. 10 words);
    • the preferred time slot of the symposium (three slots in order of preference);
    • the proposed speakers, lecture titles, affiliations, and full contact details;
    • the proposed symposium chair(s) (not affiliated with the sponsoring company).

  • The symposium coordinator or company contact person submits the 2026 symposium proposal form to ced.iadr@uzleuven.be. Only fully completed forms will be considered for a CED-IADR/NOF industrysponsored symposium

  • Each proposal must be approved by the Scientific Committee of the CED-IADR Board. The Board may refuse one or more proposed speakers or lecture topics and may propose/request alternatives.

  • Each proposed speaker should be contacted tentatively to ensure availability and willingness to contribute should the proposal be approved.

  • Once accepted, a notification of approval will be sent to the symposium coordinator and company contact person. They are responsible for informing the speakers and requesting their final agreement to lecture at the CED/NOF-IADR symposium.

  • The symposium coordinator is responsible for collecting the following from each speaker:
    • a 300-word abstract (Word format);
    • presenter picture;
    • presenter contact details (email, phone, affiliation);
    • short CV;
    • co-authors & affiliations (if applicable).

These documents must be sent by email to ced.iadr@uzleuven.be before the abstract submission deadline: 03/04/2026.

SYMPOSIUM REGULATION

  • Symposia and lectures must be based on sound, independent research and scientific data. Commercial product advertising is not allowed.
  • Each symposium is allocated a two-hour slot. No overtime is permitted due to the parallel congress programme. Time slots are defined in the 2026 symposium proposal form and allocated on a first-come, first-served basis (reference date = receipt of completed and signed proposal form + order form; see Sponsor Guide). Sponsorship level will also be considered.
  • • Each symposium may include up to three lectures.
  • • Brand names may not appear in symposium or lecture titles.
  • • Commercial advertising is not allowed within the lecture hall, unless explicitly agreed with CED-IADR.
  • • Video recording of lectures is prohibited unless explicitly agreed with CED-IADR

SYMPOSIUM CHAIR RESPONSIBILITIES

  • The symposium chair must not be affiliated with the sponsoring company.
  • The chair must strictly adhere to the agenda, warning speakers who exceed their time.
  • At least 15 minutes of discussion must be provided at the end of the symposium (or 5 minutes after each lecture).
  • The chair is responsible for ensuring that all symposium regulations are followed.

SYMPOSIUM SPEAKER REGULATIONS

  • Speakers must be affiliated with (different) institutions/universities.
  • Exceptionally, a company scientist may be proposed as a speaker if they possess special scientific expertise, subject to CED-IADR Board approval. Company-related speakers must clearly state their affiliation at the start of the lecture.
  • Lectures may not directly present a company product.
  • Lectures must not be repetitions of oral/poster presentations given at the same congress (a short reference is acceptable).

COSTS AND FEES

CED/NOF-IADR provides support for up to three symposium speakers:

  • Economy round-trip airfare (max. €500)
  • Two nights’ hotel accommodation
  • Waived congress registration fee

Additional details:

  • Symposium speakers may attend all congress social events free of charge (pre-registration required).
  • Costs are covered for three speakers only; additional expenses are the sponsor’s responsibility.
  • CED-IADR arranges flights and accommodation directly with speakers.
  • Preference is given to European speakers. One non-European speaker may be proposed; travel reimbursement is capped at €500 (lump sum).
  • Any special technical requirements beyond standard AV must be covered by the sponsor.
  • No honoraria are provided by CED/NOF-IADR. Sponsors may arrange honoraria directly with speakers.
  • No financial support is provided for chairs (sponsors may offer this at their discretion). Often, one of the speakers serves as chair.
  • Company scientists (non-speakers) must register individually and pay congress fees.
  • Depending on sponsorship level, sponsors receive a set number of registration badges (see Sponsor Guide). Each badge must be used by a company employee or direct business affiliate. Additional personnel must register separately.
